Adding Portal Users

The user who requested the portal is assigned the "Project Manager" role by default. One of the Project Manager's first jobs in the trial portal is to bring in other managers and employees as new users. Only the Project Manager has permissions to do this. To accomplish this, hover the cursor over the "Portal Users" tab and click the "Add and Edit Portal Users" menu item that drops down.

The following page will appear:

This portal already has a list of users that have been added (a new trial portal will not). Selecting the pencil icon next to a user will allow the Project Manager to edit that user's account details. Clicking the "Add New User" link will allow the Project Manager to add a new user account to the portal. After the "Add New User" link is clicked, the following dialog appears:

This allows the Project Manager to add employees as portal users.

  • User Name - is what the user will log in with
  • First Name and Last Name are self-explanatory. Other dialogs in the portal will refer to users by First Name Last Name.
  • Display Name - is usually just set with the same text as entered in First Name Last Name
  • Email Address - an email will be sent to the user at this address if the "Notify" option is checked
  • Authorize - if this is not checked, the user account will be created but the user will not be allowed to log in until the Project Manager Authorizes them at a later date
  • Notify - if this is checked, the username and password (if random) will be mailed to the user at the above Email Address, notifying the user of their new account, the url to access it, and the credentials to log in with
  • Random Password - should be checked for new users unless they have asked for a specific for their account  (they can change the password when they log in)
  • Password - leave blank if random is checked, but fill in the two password fields if a user has specifically requested a password to be put on their account
  • Role Assignment
    • Managers - can be assigned any of the 9 Earned Value Management Processes. Once assigned, they will have permissions in that process to assign work to users, and to edit work done by users. Managers can also do anything that Registered Users can do.
    • Registered Users - employees who perform the work. They can be assigned work by managers.
  • Effective Date and Role Expiry Date - do not set these options unless you want the user accounts to become effective on a particular date or to lose the role assignment on a particular date

 

 Click the "Register" link to submit the user information and create the user account. If "Notify" is checked, a pause will be noticed after clicking this link while the email is sent.
